Events

Manage tours and standalone events (one-off shows, festivals, rehearsals, recordings, promo days, interviews, and meetings) from a single list.

What are Events?

  • The Events list combines tours and standalone events in one timeline
  • Tours are containers; their show days, travel days, and day offs live inside each tour
  • Standalone events include one-off shows, festivals, rehearsals, recordings, promo days, interviews, and meetings
  • Rehearsals, recordings, and promo days can span multiple dates
  • Interviews and meetings can include start/end times and do not require a venue
  • Show days, one-off shows, and festivals display their advance status directly in the Events list
  • Rehearsals, recordings, promo days, interviews, and meetings stay in the List and Calendar views and do not have an Advance tab
  • Upcoming items appear first, with past tours and events available in the Past view

List and Calendar Views

  • Home keeps today's show and your upcoming attention items visible, while Events stays focused on the full schedule
  • Use the segmented tabs at the top of Events to switch between List and Calendar
  • List view shows upcoming tours and standalone events in one timeline
  • Calendar view shows tours, standalone events, and Unavailable blocks for band members
  • The List shows each eligible show's event and advance status at a glance
  • Use the + button in either view to add a tour or event
  • Use the + button in calendar view to add Unavailable blocks

Creating a Standalone Event

  • Navigate to Events from the menu or bottom nav
  • Click the + button and choose One-off Show, Festival, Rehearsal, Recording, Promo, Interview, or Meeting
  • Enter the event date (or a date range for rehearsals, recordings, and promo days)
  • Add start/end times for timed event types such as rehearsals, recordings, promo days, interviews, and meetings
  • Add venue or location details when needed. Interviews and meetings can be saved without a location.
  • Add promoter information if needed (the email is the default advance recipient for one-off shows and festivals)
  • Save the event - it appears in the Events list

Creating a Tour from Events

  • Navigate to Events and click the + button
  • Choose Tour and set the name, start date, and end date
  • Open the tour to add Show Days, Travel Days, and Day Offs
  • Tour dates are managed on the tour detail page

Events List

  • List view focuses on upcoming tours and standalone events
  • Past tours and events are available under Past Tours and Events
  • Click any item to view or edit details
  • Open an item to manage it, or swipe or drag its row left to reveal edit and delete actions
  • Tours open to their detail page where you manage tour dates

Event Hub Pages

  • Open an event to access Info and Logistics. Eligible live shows also include Advance
  • Info groups venue, promoter, contacts, parking, production, merch, hospitality, settlement, notes, accommodation summary, and approved guest-list summary
  • Use the + button on Info to add or update a section. Swipe or drag a populated subsection left to edit or remove just that information
  • Use Logistics for arrival, core timings, one stage time, the guest-list deadline, hotel check-in and check-out, and schedule items such as trains, flights, ferries, interviews, meetings, or custom items
  • Use the + button on Logistics to add show times or a schedule item; schedule items have their own edit and delete actions
  • Open Hotel from Info to edit or remove hotel details, check-in and check-out, booking reference, and notes independently
  • Open Guest List from Info to manage guests, allowance, and an optional deadline date and time. Removing guest-list information does not delete guest entries
  • Use Finances in the main navigation to add and review event income and expenses
  • Crew can read Info, Logistics, accommodation, and approved Guest List information, but cannot edit, open Advance, or see guarantees, settlement details, or Finances

To-dos for Events

  • Open an event and use its To-dos page for a show-specific checklist
  • You can also create from the root To-dos view and choose the event in Linked Event
  • Add checklists for each event and keep them scoped to that show
  • Mark tasks complete to move them into Completed
  • Completed tasks show who checked them off

Sending Advance Emails

  • Show days, one-off shows, and festivals support per-show advance emails
  • Rehearsals, recordings, promo days, interviews, and meetings do not use Advance
  • Open an eligible show from Events, then use its Advance tab
  • Add the band contact email in Settings > Band Profile; TourNote uses it as Reply-To, so promoter replies go directly there
  • Review and amend the recipient, subject, introduction, requirements, sign-off, and files, then send the email directly to the promoter
  • Track status in Events: Not sent, Advanced, Changes not sent, or Send failed

Events vs Tours

  • Tours: Multi-day container with show days, travel days, and day offs
  • Standalone events: One-off shows, festivals, rehearsals, recordings, promo days, interviews, and meetings
  • Advance emails: Available for show days, one-off shows, and festivals
  • Use standalone events for: Individual bookings, rehearsals, recordings, promo days, interviews, meetings, and festivals
  • Use tours for: Multi-date runs with travel between cities

Credits

  • Every new band starts with 10 starter credits
  • Events and show days cost 1 credit each
  • Tours, travel days, days off, finance entries, and to-dos are unlimited. Advance emails, accommodation, files, and notes do not spend credits
  • Any active band member can buy credit packs or an Unlimited Pass for unlimited events and show days

💡 When to Use Standalone Events

Use standalone events for individual bookings that don't need the full tour structure. If you're playing multiple cities in succession with travel between them, create a tour instead — you'll get better organisation with travel days and rest days.
